Position Title:             Program Assistant – Economic Development

Reports To:                 Senior Program Officer Economic Development



The Program Assistant – Economic Development will have responsibility for support in the delivery of microlending and technical assistance products and services to microloan entrepreneurs and small businesses.  The Program Assistant – Economic Development will also provide limited direct technical assistance to microloan entrepreneurs and small businesses.

Kind of Work

Semi-independent and responsible office work which involves a variety of moderately difficult and specialized activities to the economic development activities and entrepreneur development.  Position involves work with a variety of people and ability to communicate both orally and written. Work requires considerable accuracy, able to keep strict confidentiality and responsibility in performing general support activities.

Principal Responsibilities

Lending Support                                                                                                       70%


  • Responsible for support, maintenance and monitoring of business loan paper and computer files
  • Responsible for NMF loan data base – updating data, revise/create reports as needed
  • Responsible for Portfolio Status reporting to SBA and USDA
  • Responsible for preparation of loan documents including perfecting the collateral
  • Respond to inquiries from borrowers and occasional correspondence to Borrowers
  • Responsible for preparation of loan reports
  • Provides support for loan review committees, including preparing and mailing loan committee packets
  • Prepare calendar year end IRS forms 1098 and 1099-C on applicable borrower loans
  • Upon auditor request, prepare borrower letters for the annual NMF financial audit.
  • Provides support for maintenance of business development resource data in the region
  • Manage retention of borrower loan files (digital or physical files) that are in closed status
  • Responsible for preparation of new borrower letters for NMF Audit
  • Responsible for Loan Program Report/MIF
  • Responsible for Jobs /McKnight Loan reporting
  • Assist EDP lead staff on drafting of loan committee minutes
  • Coordinate assistance and processing of new loan requests with lead lending staff
  • Responsible for maintenance of Minutes books for both loan committees
  • Participate with NMF staff to identify and assess loan and project management software
  • Upon software selection, work with NMF staff to implement new software


Other Administrative Support                                                                 30%


  • Assist with designing and developing the tools and processes for solid customer service and efficient response to inquiries that come into NMF; assist with directing inquiries to the appropriate individual/area in NMF
  • Provide support for IDEA Competition including assisting with meeting preparations and the annual event
  • Ability to perform general office duties: drafting letters and reports using a variety of common software
  • Provide clerical support to all staff. Provide 20 – 30% front desk/reception duties: answering phones, open mail, responding to requests from the public and assisting with management of the meeting rooms for external groups.
  • Perform other duties as required to assure a smoothly functioning office

Training and Experience Required

  • Associate Degree (A.A.) from two year college or technical school
  • Two years of related experience including Microsoft Office Suite

Knowledge, Skills and Abilities Desired

  • Considerable knowledge of office principles, practices, procedures and equipment
  • Considerable knowledge of business English, spelling and basic math
  • Considerable knowledge of computer procedures and operations
  • Ability to communicate clearly and effectively – good telephone voice
  • Organizational skills with an ability to focus on details
  • Ability to function in a team relationship
